This is a breakdown of a National Conference we run for Total Kenya in 2018, this was our very first engagement with the French Multinational.

Our Assignment - Launching a National Confrence Experience

The Network team within Total Kenya got in touch with us and asked us to pitch an idea for their first National Dealers Seminar for 200 Dealers & 50 Total employees. The main agenda was to involve them in the TOTAL Family, motivate, develop and empower dealers and management to reach their full potential and facilitate the re-design of business practices to become efficient, cross-functional and customer driven.

Approach and Event Day

Our approach was to give the client an out of the box experience and to go over and beyond what we had been asked to prepare. We started out by creating a theme and rallying call which was “Pamoja – One team, one family, one goal.” The purpose of the theme was to help the employees and dealers that they formed ONE BIG FAMILY. And pass on the benefits of Service and Customer Experience being the same all over the country.

The next step was to design the event along the theme, client’s ask and adding our creative side.

  1. As opposed to the usual projector and projector stand, we proposed that our client use LED Daylight Screens, add stage and room branding, lighting and a stage. This was a different direction from what they had done before but because this was the first time the seminars were moving from being regional to national it was essential to make a strong first step.
  2. Created a design theme that cut across all branded materials – signage, executive presentations, animation and bumper videos, invites, awards and certificates and badges.
  3. Rebranded the name of the conference. National Dealers Seminar was the suggested name which felt a bit formal and cold was replaced by National Dealer Convention which felt a bit warmer and modern.
  4. Invites to the conference that were delivered via video, WhatsApp and email. This meant scripting and shooting the Commercial Manager inviting dealers and staff to the event, developing posters and email templates that would all be used to create excitement and anticipation to the first National Dealer Convention.
  5. Award Night. We encouraged the client to have an Award night that required the dealers and staff to come dressed in a dress code – black tie. The award night was filled with fun quizzes and other event animations, along with bronze, silver and gold awards ceremonies at different stages.
  6. Bumper Videos to introduce speakers, sections of the program such as breaks and nominees and winners of the awards held on the award night
  7. Designed executive presentations giving each of the presentations by the speakers a common look and feel and ensuring that the templates were in line with the events theme
  8. Event Production, planning and managing the event from start to finish in intervals of 15 minutes and directing each part from the production booth. We oversaw directing the sound, lighting, LED Daylight Screen animation and presentations, photography and videography, masters of ceremonies and event ushers, all who also happened to be our suppliers.
  9. Branding and signage on the venue grounds and within the room.
  10. Training on Customer Orientation that included indoor activities in line with our training. We brought in one of our in-house consultants to manage the trainings. The premise of the training was based on the fact that a empowered and motivated team is more likely to give EXCELLENT SERVICE, ensure return of clients, create opportunities to cross-sell and upsell, and improve profitability. We decided that we were going to train the dealers on how to manage their internal client (staff) in a way that would positively affect how their staff manage their external client the consumer. The trainings run over different periods of the two days had time divided between slide-based training conversations, relevant activities to bring out the points raised and a variety of case studies.

The Result

We had a successful and well-run event that resulted in the dealers and staff being happy and giving the planning and experience a thumbs up in the survey that was run. Another win for us and our client.
